1. Responsibility and scope

Solutions Impact Web (SIW) is operated by Daniel Germain, registered as “Germain, Daniel”, Québec enterprise number 2282131160. Daniel Germain is responsible for personal information. This policy concerns SIW enquiries and services; it does not automatically describe other brands using the same payment account.

2. Information and purposes

Forms may collect your name, email, optional phone number, website address, request type and message. We use these details to respond, prepare a quote, deliver the requested service and follow up. A requested assessment may contain observations about your website. Messages and results sent by email or added to follow-up records do not necessarily disappear after display.

Do not submit passwords, full card numbers, government identifiers or medical information through forms or the receptionist. Access needed for a project is arranged separately.

3. Payments

Stripe processes payments and subscriptions. SIW can access billing information, payment status and limited payment-method details needed for follow-up; full card numbers must not be sent to us. Stripe presents its own privacy information in the payment flow.

4. Claudia AI receptionist

Claudia uses ElevenLabs to process your voice in real time and create a transcript. For new conversations after the settings were implemented on September 12, 2026, the three SIW agents do not retain audio recordings. Deletion of transcripts and derived fields is configured after 30 days at ElevenLabs. This setting does not delete copies needed for email or customer-record follow-up.

Earlier conversations were not purged by this change. The agent notice asks for agreement before collecting contact details; you may use email instead. Technical processing of voice and initial responses may already occur before that spoken agreement. ElevenLabs settings do not guarantee how a telephone provider separately handles its records.

5. Providers and processing outside Québec

Depending on the channel, information is processed by the hosting, email, automation and follow-up services used for your enquiry. SIW uses Stripe for payments, ElevenLabs for AI reception and Notion for commercial follow-up. The website includes form delivery by email and to an n8n automation. Processing may take place outside Québec. Contact us to identify the providers and information involved in your file; do not assume that all information stays in Canada.

6. Retention

The 30-day period applies only to new ElevenLabs conversations. Emails, customer records, quotes, deliverables and billing records have separate retention based on service needs, applicable obligations and dispute handling. The ElevenLabs setting does not delete those copies. We review deletion requests to determine what can be erased and what must be retained, and explain the applicable limits.

7. Your choices and rights

You can write to request access, correction, deletion or withdrawal of consent, and information in an appropriate format where applicable law provides for it. We may verify identity proportionately. Some information remains necessary to provide a service or meet a legal obligation; we explain the consequences of your request.

8. Security and incidents

Access and exchanges must be limited to what the file requires. No technology guarantees absolute security. If you suspect an incident, contact nakoliss@solutionsimpactweb.com without including secrets in your message. We review the facts, protective measures and applicable notification obligations.

9. Browsing and external links

Hosting and services needed for operation may process technical connection data. Browser settings allow you to manage cookies and permissions. External websites, social networks and payment pages have their own practices; linking to them does not mean SIW controls their processing.

10. Updates

Changes are dated on this page. A new processing purpose or change requiring consent must be presented to you under applicable rules.
